An authorization letter lets a person or a company allow someone else to complete one specific task on their behalf, for a set period. The template above has three types: a general authorization, a bank authorization and a letter for a government office. You type the names, both ID numbers and the task into the letter itself, and a summary above it checks the ID format and works out when the authorization ends.

In brief

An authorization letter that offices accept names both people with their ID numbers, one clear task, the office it is addressed to and an end date. In the example the authorization is valid for 90 days from the letter date, and the end date is printed on the letter.

How to use the authorization letter template

  1. Choose a tab: General for a personal task, Bank, or Government office when a company authorizes one of its staff.
  2. Choose Mr. or Ms., then click the underlined words and type the names, ID numbers and the task.
  3. Switch to Advanced to set the validity, the letter date and the addressee, and the account number in the bank letter.
  4. Download the letter, sign it, have the authorized person sign it, and attach copies of both IDs.

What an authorization letter is

An authorization letter is written permission for one transaction: collecting a car from service, an account statement, or documents from a government office. Individuals and companies use it when the person concerned cannot attend. Unlike a power of attorney, it is not notarized, so whether it is accepted depends on the office receiving it.

What to include in an authorization letter

ItemWhat to write
GrantorName and ID number as on the ID, or the company name, commercial registration and the signatory's name and title
Authorized personName and National ID or Iqama number
ScopeThe task in specific verbs: collect, submit, sign to confirm receipt
AddresseeThe office or branch the letter is addressed to
ValidityUntil the task is done, a number of days, or an end date
SignaturesThe grantor's signature, the authorized person's signature for comparison, and the company seal if any

Authorization letters for banks and government offices

In the Bank tab you pick the service from a list: account statement, card or cheque book, balance certificate, or submitting documents. The letter excludes withdrawals, transfers and changes to account details unless you state them. In the Government office tab a company authorizes an employee to visit the Ministry of Commerce, the municipality or the Chamber of Commerce, with the commercial registration number in Advanced mode. Many banks and government offices in Saudi Arabia ask for their own form or an authorization through their online platform, so ask before you go.

Authorization letter or power of attorney

An authorization covers one transaction for a short period, and a signed letter is enough if the office accepts it. A power of attorney is wider, such as buying, selling, property transfer or litigation, and is notarized by the competent authority. When the transaction disposes of property or a right, you need a notarized power of attorney rather than a letter.

Common mistakes

  • A general phrase such as "to complete all transactions" with no specific task, which offices refuse.
  • No validity, so the letter stays usable after the need has passed.
  • An ID number that is incomplete or differs from the original ID.
  • A company letter without the signatory's name and title or the company seal.

Legal notes

An authorization letter does not replace a notarized power of attorney where one is required, and it does not bind an office that does not accept it. The ID check on this page is a format check only (10 digits starting with 1 or 2) and does not verify the number with any authority. This template is general wording, not legal advice.

Frequently asked questions

Is a printed authorization letter enough?

It depends on the office. Many accept a signed letter with copies of both IDs, while others ask for their own form, an authorization through their platform, or a notarized power of attorney. Ask before the visit.

Does the authorized person need to sign the letter?

Yes. The grantor's signature makes the letter valid, and the authorized person's signature lets the office compare it when they attend. A company letter is signed by someone with signing authority and stamped.

How long is an authorization letter valid?

There is no single period, so set one: until the task is done, 30, 90 or 180 days, or a date you choose. The authorization letter template prints the end date on the letter.

Is the authorization letter template free?

Yes. Filling in the letter and downloading it as Word, PDF or a blank form are free. The page asks for your details once before the first download.
