This report template comes in five types: an admin report, a technical and maintenance report, a project report, an annual report and a one-page short report. Each one is a complete page with cover details, introduction, findings, recommendations, conclusion and signatures, and opens filled with an example from a Saudi company that you edit on the page. The daily and weekly employee work report has its own page.

In brief

Pick a report type, type the title, introduction and conclusion on the page, and list findings and recommendations one per line. A "FINAL" stamp appears once all five elements are filled; then download the report to edit or print, or copy its text.

How to use the report templates

  1. Choose the tab closest to your report, then one of the ready examples above it.
  2. Click the title, introduction or conclusion on the page and type over the example. Findings and recommendations go in the boxes above the page.
  3. Switch to Advanced for the rest of the cover details and the indicator or budget table.
  4. Download the report, or choose "Blank form" for a page to fill in by hand.

What a report is and the main report types

A report is a written document that gives a decision-maker facts about a defined subject over a defined period, draws findings from them and recommends action. Unlike minutes, which record what happened, a report analyses and recommends. Business reports fall into four main types, plus the short report:

TypeWhen it is writtenCore section
Admin reportMonthly or quarterly on a department's work, or when a problem needs a decisionFindings and recommendations
Technical reportAfter equipment maintenance or a site or building inspectionInspection findings, cause and cost
Project reportFor the project committee or the ownerProgress by phase and risks
Annual reportAfter year end, for managers or partnersIndicators against the previous year
Short reportFor a single event: a problem, a customer visit or a training courseWhat happened and the recommendation

The annual report here is a management summary of the year. It does not replace the financial statements or any reports the Saudi Companies Law requires from certain companies; check your company's obligations with the Ministry of Commerce.

How to write a report: from purpose to final check

Writing a report starts before the first line. There are four steps:

  1. Set the purpose and the reader. One question the report answers, who will read it, and what decision you need from them. Cut any paragraph that does not serve that question.
  2. Collect data from its sources. Logs, invoices, receiving records and interviews, and name the sources in the introduction.
  3. Order the elements. Introduction, data, findings, recommendations, conclusion. Every finding needs evidence in the data section, and every recommendation answers a finding.
  4. Check before sending. Figures against their sources, names and dates, and an owner and deadline for each recommendation.

The Admin report tab has three worked examples: a monthly progress report, a report on a problem at work, and a department achievements report.

Report format and a sample report introduction

Every report type needs the same elements:

  • Title and cover details: subject, company, period, date, author and recipient.
  • Introduction: subject and period, purpose and data sources, in three or four sentences.
  • Data: the figures and tables the findings rest on.
  • Findings: what the data shows, one finding per item.
  • Recommendations: a specific action for each finding that needs one.
  • Conclusion: a two-sentence summary and what you need from the reader.
  • Signatures and attachments.

A sample report introduction from the admin report above; change the department, period and sources:

"This report covers the work of the Procurement Department during September 2026. Its purpose is to show senior management how many purchase requests were fulfilled, which deliveries were late and why, and what we propose to reduce delays next month. It is based on the purchase request log and the warehouse receiving records."

And the conclusion of the same report:

"Purchasing time improved this month, while one late supplier remains the main problem for the warehouse. We recommend approving the three actions above before the end of October, and we will report on their effect next month."

Never put a new finding in the conclusion that the data section did not show.

Report template in Word and PDF: short and full reports

Download any report as Word to change the font and add your logo, as PDF to print, or use "Copy text". "Blank form" gives the page with empty fields for a technician to fill in on site.

A short report is one page: subject, recipient, three or four sentences and a recommendation.

A full report adds data and tables, and the other four types calculate on the page:

  • Project report: phase weights of 10, 40, 30 and 20 with progress of 100%, 75%, 20% and zero give a project completion of 46%. In Advanced mode a budget of SAR 2,400,000 with SAR 1,180,000 spent leaves SAR 1,220,000.00, with 49.2% spent.
  • Annual report: revenue up from SAR 4,200,000 to SAR 4,830,000, growth of 15%, and customer complaints down from 58 to 41, a fall of 29.3%.
  • Technical report: three parts totalling SAR 1,765.00; adding the SAR 350 labour charge in Advanced mode brings the total cost to SAR 2,115.00.

Common report writing mistakes

  • A long introduction about why the subject matters that never states the period or the purpose.
  • Findings without figures: "performance improved" instead of "average purchasing time fell from 9 days to 7".
  • Vague recommendations with no owner and no deadline.
  • The writer's opinion inside the data section; opinion belongs in the recommendations.

Report writing FAQ

How long should a report be?

It depends on the purpose: a short report is one page, a monthly admin report two to four pages, and project and annual reports longer depending on their tables. The decision-maker should be able to read the introduction, findings and recommendations in a few minutes, with details moved to attachments.

Is there a ready report introduction I can use?

Yes. Every tab opens with an introduction written on the page, which you adapt by changing the subject, period, purpose and data sources. The report format section above has a sample introduction and conclusion from the admin report.

What makes a report good enough to submit?

It is accurate in its figures, dates and sources, clear in short sentences under consistent headings, and neutral, keeping facts apart from opinion. Every recommendation answers a finding in the report, and the report carries its author's name and date.

How do I write a technical maintenance report?

Start with the problem as the requester saw it, then the inspection findings and cause, the work carried out with parts and cost, and finally recommendations, job status and the signatures of the technician and recipient. The technical tab has two examples: AC maintenance and a warehouse wall inspection.

Is there a monthly work report template?

Yes. The first example in the Admin report tab is a monthly progress report for a procurement department, with introduction, indicators, findings, recommendations and conclusion. Change the department, month and figures, then download it in the format you need.
