A salary receipt form is the sheet an employee signs to confirm they received the month's salary, and a monthly salary receipt sheet collects those signatures for every employee in one table. Enter names, Iqama or ID numbers and salaries in the table above: the total is added up and any incomplete row stands out. Then print the sheet for each employee to sign next to their name, or open the Salary receipt tab for a single employee.
Sheet total = sum of the salaries received. The example shows six workers and staff with a total of SAR 24,000.00, of which SAR 10,300.00 was paid in cash, and one row with no ID number highlighted until it is completed.
How to use the salary receipt form
- On the Salary receipt sheet tab, enter each employee's name, Iqama or ID number, job title and salary, and choose the payment method.
- Check the cards above the table: the total, the amount paid in cash and the number of rows missing an ID.
- Open Sheet for signing, add the company name, the month and the names of the accountant and manager, then download and print it.
- Each employee signs and dates the line next to their name on receipt, and the accountant and manager sign at the bottom.
What goes in each column
| Column | What you enter |
|---|---|
| Employee name and Iqama or ID number | As on the ID or Iqama, so the name matches the contract. |
| Job title and department | Department or site appears in Advanced mode and helps when each site gets its own sheet. |
| Salary | The net salary handed over after allowances and deductions. |
| Received if part payment | Advanced mode: what was actually paid when the salary is split, so the balance is calculated in its own column. |
| Payment method | Cash, bank transfer or cheque. |
| Date and signature | Empty in the file; the employee writes them by hand on receipt. |
What a monthly salary receipt sheet is for
A salary receipt sheet is a joint acknowledgement: each line holds an employee's name, an amount and their signature confirming they received the month's pay. Its value is as proof. If an employee later says a month's salary never reached them, their signature against the amount is the employer's evidence of payment. It matters most when wages are paid in cash at a workshop, a site or a household. When salaries go by bank transfer, the transfer record is the stronger proof, and the sheet is an extra acknowledgement rather than a replacement.
Salary receipt form in Word and PDF
Download the sheet in Word from the Sheet for signing tab if you want to change the declaration or add your logo, or as a PDF to print it as it is. The table on the first tab downloads as Excel with the total and balance formulas, so you can add staff month after month. The blank form button gives you a sheet with empty lines to fill in by hand.
Pick the "Shop with three staff" example for the simplest case: salaries of 3,000, 2,500 and 2,000, a total of SAR 7,500.00.
Printable salary receipt sheet for workers
A business with workers on more than one site enters the department or site for each worker and prints one sheet per site for the supervisor to carry on pay day, so each worker signs where they work. Keep the names in the same order as the payroll to make matching easy, and file the signed sheets by month with that month's payroll. If a salary is paid in two parts, enter the part in "Received if part payment": in the "Salaries paid in parts" example, SAR 6,000.00 was received out of salaries totalling SAR 8,300.00, leaving SAR 2,300.00.
Households with domestic workers can use the "Domestic workers and driver" example with three lines, printed each month for the worker to sign.
Single salary receipt
A salary receipt is one employee's acknowledgement of a set amount for a set month, used when one person is paid separately or outside the usual pay day. It states the recipient's name and ID number, the employer, the amount in figures and words, the month and the date received in Gregorian and Hijri, followed by the signatures of the recipient and the person paying. In the example: SAR 3,000.00, written out as "three thousand riyals". If the amount is part of the salary, choose "Part of the salary" in Advanced mode and the receipt states the full monthly salary and the balance: a part payment of 2,000 out of 2,800 leaves SAR 800.00.
Common mistakes on salary receipt sheets
- Writing the name without the Iqama or ID number, which makes it hard to prove who signed.
- Letting an employee sign before the money is in their hand.
- Marking a salary as received when only half was paid, with no balance shown.
- A sheet with no month, or without the accountant's and manager's signatures.
- Relying on a paper sheet when the business is required to pay wages by bank transfer.
Regulatory notes
Article 90 of the Saudi Labor Law covers paying wages in the official currency and on time, and businesses covered by the Wage Protection System must deposit salaries into workers' bank accounts and report them every month. If your business is covered, a paper sheet does not replace the transfer. Domestic workers fall under the Domestic Workers Regulation. Check the current texts, and how long wage records must be kept, with the Ministry of Human Resources and Social Development.
When salaries sit in paper sheets and scattered spreadsheets
Microtec accounting software covers sales, purchasing, inventory and finance and includes an HR module, so employee and salary records stay with the company's accounts in one system.
Frequently asked questions
Is there an official salary receipt sheet from the Ministry?
The Ministry does not publish a standard paper receipt sheet. Businesses covered by the Wage Protection System prove payment through bank transfers and the monthly wage file; this sheet is an extra internal acknowledgement, or the main proof when wages are paid in cash.
What is the difference between a salary receipt and a final settlement?
A salary receipt proves one month's salary was received during employment. A final settlement is signed when employment ends and proves the final dues were received: wages for the last days, unused leave and the end-of-service award.
Do both sides need to sign a salary receipt?
The recipient's signature proves receipt, and the payer's signature shows who handed over the money and when. Both signatures, with the ID number and date, make the receipt stronger in any dispute.
How long should salary receipt sheets be kept?
Keep them with the same month's payroll for as long as the employee's contract runs and long enough afterwards to answer any claim. The required retention period for wage records is set in the Labor Law's implementing regulations, so check it with the Ministry.
How do I download a blank salary receipt form in PDF?
On the Sheet for signing tab, press the blank form button to get a PDF sheet with empty lines; the Salary receipt tab gives you a blank receipt in Word.
