A payslip, also called a salary slip or pay slip, explains one month's pay to one employee: what they earned in basic salary and allowances, what was deducted, and the net pay they received. Type the name and month into the payslip template above, then the lines in the two tables, and net pay appears in figures and words. For the whole team, the Payslips for all staff tab downloads as Excel.
Net pay = total earnings − total deductions. In the example: earnings of SAR 8,000.00 and deductions of SAR 750.00 give net pay of SAR 7,250.00.
How to use the payslip template
- Choose Mr. or Ms. and type the name, company and month into the payslip.
- Enter the earnings: basic salary, allowances and overtime, one item per line.
- Enter the deductions as they appear on the month's payroll: the GOSI share, absence and any advance instalment.
- Download the payslip as a PDF to send to the employee, or in Word to add your logo.
What a payslip is and what it contains
A payslip is the monthly statement of one employee's pay. It has four parts: employee details and the month; earnings (basic salary, housing allowance, transport allowance, overtime and any other allowance); deductions (the employee's share of social insurance, absence and salary advances); and net pay. It matters to the employee because it explains the figure that reached their account, and to the employer because every employee is told about their pay in the same format.
How to read and check a salary slip
- Match the basic salary and allowances against your contract.
- Check that GOSI is calculated on basic salary and housing, and that the employer's share was not deducted from you.
- Look at each deduction: is there a written decision or an agreed advance instalment behind it?
- Add up the earnings, subtract the deductions, and compare the result with the amount you received.
The split between basic and allowances matters because the end-of-service award and GOSI are both based on the basic salary.
Payslip and salary slip format in Saudi Arabia
A salary slip format in Saudi Arabia usually shows basic salary, housing and transport allowances as separate lines, because that is how most contracts set pay, followed by the GOSI deduction for citizens. Amounts are in Saudi riyals. A payslip is not a packing slip: a packing slip lists the goods in a shipment, while a payslip lists an employee's pay. The template here gives the payslip in English, and the same document is available in Arabic on the Arabic page.
Payslip template in Excel for every employee
The Payslips for all staff tab has one line per employee with earnings and deduction columns; the example has five employees with total net pay of SAR 30,825.00. The sheet downloads as Excel with its formulas, and the Payslip from sheet tab prints any employee's payslip. A worker's pay slip is written the same way: the "Worker with overtime and absence" example comes to SAR 3,360.00 net. Calculating GOSI and overtime themselves is the job of the payroll template and the salary and GOSI calculator.
Common payslip mistakes
- Showing a single gross figure without separating basic salary and allowances.
- Deducting the employer's GOSI share from the employee's pay.
- A deduction with no reason written on the payslip.
- Net pay on the payslip that differs from the amount transferred.
Regulatory notes
Social insurance contribution rates are set by the General Organization for Social Insurance (GOSI); this payslip takes the amount as calculated on the payroll. Limits on deductions from wages are in Article 92 of the Saudi Labor Law. Check the current texts with the Ministry of Human Resources and Social Development.
When payslips pile up every month
Microtec accounting software covers sales, purchasing, inventory and finance and includes an HR module, so salaries stay with the company's accounts in one system.
Frequently asked questions
Do employers in Saudi Arabia have to issue payslips?
This template does not settle that question; check the Labor Law and its implementing regulations. A payslip is still the clearest way to tell an employee how their pay was made up, and it heads off disputes over deductions.
What is the difference between a payslip and a salary certificate?
A payslip breaks down one month's pay into earnings and deductions. A salary certificate is a letter for a third party such as a bank, stating the monthly salary without the month's details.
Does a payslip need a company stamp?
The company details and an HR signature are normally enough. If a third party asks for a stamped copy, add the stamp to the printed payslip.
How do I print a payslip for every employee?
Enter your staff on Payslips for all staff, then open Payslip from sheet, choose each employee and download their payslip.
