A restaurant bill is the slip a customer receives after ordering, showing what they ordered, the price, the time and how they paid. This restaurant and cafe bill template comes in two sizes: an 80 mm thermal receipt for the printer at the till, and a larger A5 bill for long orders and delivery. Type the details straight into the receipt, and click any field to see what goes in it.
In the ready example, two dishes at SAR 35 and 28 make a total of SAR 63 with no VAT, for a restaurant that is not VAT-registered. A registered restaurant issues its invoices from a point-of-sale system with a compliant e-invoicing solution.
How to use the restaurant bill template
- Pick the size: "80 mm thermal receipt" or "A5 bill".
- Type the restaurant name, order number and table number into the receipt, then choose the order type (dine-in, takeaway, delivery), payment method and date.
- Add the items with quantity and price; line amounts and the total are calculated.
- In Advanced, add the time, server or cashier, address, a service or delivery fee, a discount and split payment details.
- Download the receipt as a PDF and print it, or download a blank copy to fill in by hand.
What a restaurant bill includes
A restaurant or cafe bill differs from a retail invoice in its service fields: the table number shows where the order was served, the order type separates dine-in from takeaway and delivery, and the server or cashier name helps when a customer queries the bill. Then come the items with quantity and price, the total, the payment method and a short thank-you line. Advanced mode adds an empty box for a QR code that you can use for your menu or review link.
80 mm thermal receipt or A5
The 80 mm thermal receipt is the usual format at the till: the PDF here is the width of the paper and as long as the order, so it prints without scaling. The printable area is about 72 mm, so keep item names short ("hot latte medium", not "hot latte in a medium cup with milk") and avoid extra columns. A5 suits event and large delivery orders, has room for the customer's signature, and also downloads as Word for editing and Excel with formulas.
Calculating VAT on a restaurant bill
A restaurant that is not VAT-registered adds no VAT. For learning, Advanced mode offers "With 15% VAT": VAT is calculated on the net after any service fee and discount. On the example, SAR 63 carries VAT of 9.45 for a total of 72.45; with a SAR 5 discount the net becomes 58, VAT 8.70 and the total 66.70. Registered restaurants usually show VAT-inclusive prices on the menu, so VAT is extracted from the price rather than added to it.
From handwritten bills to e-invoices for restaurants
In Saudi Arabia, VAT registration is mandatory above SAR 375,000 of annual taxable supplies, according to ZATCA. A registered restaurant issues its simplified tax invoice from a point-of-sale system with a compliant e-invoicing solution; a receipt from a template is not enough. At peak times handwritten bills also slow service and invite adding-up errors. This template suits an unregistered restaurant starting out or a home kitchen; creating a tax invoice with a QR code is a separate tool, the tax invoice generator.
Common mistakes on restaurant bills
- An order number that repeats within the day, so the bill does not match the kitchen order.
- Long item names that wrap badly on 80 mm paper.
- Adding VAT on the bill of a restaurant that is not VAT-registered.
- A split payment without the amount for each method, so the cash drawer and card terminal do not reconcile.

Frequently asked questions
Can I print the restaurant bill on a thermal printer?
Yes. Download the "80 mm thermal receipt" tab as a PDF and print it at 80 mm without scaling. Without a thermal printer, use the A5 bill on a regular printer.
Does a restaurant bill need a VAT number?
A VAT number appears on the bill of a VAT-registered restaurant, and that bill comes from an e-invoicing solution. An unregistered restaurant has no VAT number and adds no VAT.
Is this bill enough to meet the rules?
It is a plain bill that suits a restaurant or cafe that is not VAT-registered. A registered restaurant needs an e-invoice from a compliant point-of-sale system, which this page does not replace.
Is there an Arabic version of this cafe bill template?
Yes. The Arabic page has both sizes and the same examples, and its link is below the template above.
