An experience certificate is a letter an employer issues to confirm that a person worked for the company, in which job, and from which date to which date. The template above has four versions: a general work experience certificate, an accountant certificate, an engineer certificate, and a request letter the employee hands to HR. Type the details into the certificate itself and the length of service is worked out, with both dates shown in Gregorian and Hijri.

In brief

An experience certificate states the employee's name, job title, joining date, last working day and total service, and carries an authorised signature and the company stamp. In the example shown: 14 March 2021 to 30 September 2025, a total of 4 years, 6 months and 17 days.

How to write an experience certificate with this template

  1. Pick the version: "Experience certificate" for any job, or "Accountant" or "Engineer" if you want duties written for the specialty.
  2. Choose Male or Female so the certificate reads "Mr." or "Ms." and the right pronouns, then type the name, job title and company into the marked places.
  3. Set the joining date and the last working day, and the length of service appears in years, months and days.
  4. In Advanced mode, add the certificate number, nationality, Iqama or ID number, last salary and duties, or tick "Still employed".
  5. Download the certificate, print it on company letterhead, then sign and stamp it.

What an experience certificate is and what it must include

An experience certificate is the first thing a new employer asks for when counting years of experience, and embassies, universities and professional bodies ask for it too. The required details are the name, job title, both dates, length of service, signature and stamp; optional ones are the last salary, duties, nationality and ID number, and a conduct line.

ItemWhat to write and why
Employee nameExactly as on the passport, Iqama or national ID, because the receiving party matches it against that document.
Job titleThe title in the employment contract. If it changed during employment, use the latest one and mention the earlier one in the duties.
Joining date and last working dayTwo exact dates, not "2021 to 2025". The length of service is calculated from them.
Length of serviceCalculated from the two dates, counting the last working day.
Last salaryOptional; include it when the employee asks for it.
Signature and stampSigned by the HR manager or an authorised person, with the company stamp. Many employers and embassies reject an unstamped certificate.

Experience certificate format you can edit

The short experience certificate format opens with "To whom it may concern", then the certifying sentence: "This is to certify that Mr. X worked with the company as Y from date A to date B", then a statement that it is issued at the employee's request without liability towards third parties, and finally the date, signature and stamp. The detailed format adds a list of duties and a conduct line from Advanced mode.

Write duties as specific actions ("prepared the monthly bank reconciliations"), not adjectives ("hard-working and cooperative"), and keep the assessment to one neutral line such as "He maintained good conduct throughout his employment." If the employee still works for you, tick "Still employed" and service is counted up to today.

Experience certificate for an accountant

Choose the area of work: general accounting, receivables and payables, cost and inventory, payroll, or tax and closing, and the certificate lists the real duties of that area, such as bank reconciliations or the monthly payroll. Advanced mode adds a line for the systems and software the accountant used.

Experience certificate for an engineer

Choose civil, electrical, mechanical, software or engineering project management, each with its own duties. Advanced mode adds the professional membership number and main projects, which professional bodies ask for when they count years of experience.

Experience certificate in Word, PDF and blank

Download the work experience certificate in Word if your company has printed letterhead: open the file and print onto it. Use the PDF to print exactly as shown on plain paper before stamping, and Blank form to print for an empty certificate with lines to fill in by hand. Print on A4, sign in ink, and place the stamp so it touches the signature without covering the dates.

Arabic experience certificate

This English certificate serves foreign employers, embassies, universities abroad and employees who do not read Arabic. Government bodies and most employers inside Saudi Arabia expect Arabic, so the Arabic page offers the same four versions. When you need both, print each language on its own sheet with the same details.

Experience certificates under the Labor Law

Article 64 of the Saudi Labor Law says the employer must give the worker, on request at the end of the contract, a free service certificate stating the joining date, end date, occupation and last wage, and that it must not contain anything that could harm the worker's reputation or job prospects. Check the current text with the Ministry of Human Resources and Social Development before relying on it.

The Ministry does not prescribe a single experience certificate form for the private sector; this template collects the details the article names in a letter the company issues on its own letterhead.

Common mistakes in experience certificates

  • Writing only the years, not the day and month, so the next employer counts the experience wrongly.
  • Using a job title that differs from the one in the contract.
  • Adding negative remarks about performance or the reason employment ended.
  • Issuing the certificate without a stamp or without the signatory's name and title.
  • Making the certificate conditional on a fee or on settling a financial dispute.

When certificate requests pile up and service records are scattered

Microtec's ERP accounting system serves businesses in Saudi Arabia and includes an HR module that keeps employee details and service dates in one place instead of scattered files.

Experience certificate FAQs

How do I write an experience certificate for an employee?

Open with "To whom it may concern", state that the company certifies the employee worked as a named job title from one exact date to another, add a conduct line if you wish and a note that it is issued at the employee's request, then the date, signature and stamp. The template above puts this in order and calculates the service.

Is an employer required to issue an experience certificate for free?

Yes, under Article 64 of the Labor Law the employer gives a free service certificate at the end of the contract when the worker asks for it. Check the current text with the Ministry of Human Resources.

Who issues and signs an experience certificate?

The company the employee worked for issues it on its letterhead, signed by the HR manager or an authorised person with their name, title and the company stamp. A certificate written by the employee or signed by a colleague is not accepted by employers.

How do I request an experience certificate from my company?

Write a short request to HR stating the language (English, Arabic or both), the purpose, and if your last salary should be included. The Request letter tab writes it for you; hand it in against a signed receipt so your request has a fixed date.

Should the reason for leaving appear on an experience certificate?

Usually not. Article 64 of the Labor Law bars anything in the certificate that could harm the worker's reputation or job prospects. The certificate confirms service and its dates; the reason for leaving belongs in the employee file and final settlement.

Should the salary appear on an experience certificate?

Article 64 lists the last wage among the certificate details, and many companies include it only when the employee asks. The last salary line can be shown or hidden in Advanced mode.

Can I issue an experience certificate to someone still employed?

Yes. Tick "Still employed" in Advanced mode: service is counted up to today and the wording says the employee remains in the job as of the certificate date.
