A task assignment letter is issued by a company to give an employee a specific task with a set period and a person to report to, alongside or outside the main job. The page also has eight more HR letters: formal summons, job title change, no objection, business trip, recommendation, absence warning, workplace complaint and transfer request. Type the details into the letter and download it ready to sign.

In brief

An assignment letter = the task, the period and start date, who the employee reports to, the authority granted, any allowance, and the employee's signature of receipt. On a business trip: a daily allowance of SAR 450.00 × 3 days = SAR 1,350.00.

How to use the HR letter templates

  1. Pick the letter from the row of tabs, then Mr. or Ms. so the letter addresses the employee correctly.
  2. Type the name, job title, company and task into the paper, and complete whatever the readiness bar asks for.
  3. Switch to advanced mode for the start date, reporting line, authority, assignment allowance and reference number.
  4. Download the letter, sign it and keep a copy signed by the employee in their file.

What a task assignment letter is

An assignment letter is a written decision giving an employee a defined piece of work for a known period: a warehouse stock count, follow-up with new suppliers, or covering a colleague on leave. An internal assignment happens at the usual workplace while the main duties continue; a secondment or business trip sends the employee to another city or branch, with a return date and an allowance. Put it in writing whenever the employee's responsibilities, authority or pay change, so the file shows it.

What the assignment letter includes

It states the task in terms you can measure, the period and start date, who the employee reports to, the authority granted, any allowance, and that the main duties continue. The sample scope reads: "supervising the stock count at the Jeddah warehouse and reporting the variances, for two months". Download the task assignment letter as a PDF to print and sign, or in Word to change the wording; the assignment allowance (SAR 1,500.00 in the sample) appears in figures and in words.

Overtime assignments and pay

If the assignment means hours beyond normal working hours, it is overtime, paid under Article 107 of the Saudi Labor Law at the hourly wage plus 50% of the basic hourly wage (to be verified). Example: basic salary SAR 6,000 ÷ 30 days ÷ 8 hours = SAR 25.00 an hour, so an overtime hour is SAR 37.50 and ten hours SAR 375.00.

Secondment and business trips

The business trip letter states the destination, start date and number of days, works out the end and return dates in both calendars, and sets transport and the daily allowance. The sample is three days at the Dammam branch at SAR 450.00 a day, SAR 1,350.00 in total. Unlike an internal assignment, a trip moves the place of work for a while and brings travel and accommodation allowances under the company's regulations.

When to use each letter

LetterUse it when
Formal summonsManagement asks the employee to attend at a set time and place.
Job title changeThe title changes through promotion or reorganisation.
No objection letterThe employee needs permission for a university, a training provider or work outside hours.
RecommendationThe employee applies for a job or study.
Absence warningThe employee is absent without permission and the company asks in writing for a return.
Workplace complaintThe employee raises a complaint with facts and dates.
Transfer requestThe employee asks to move branch for family or medical reasons.

The employment verification letter (to whom it may concern) has its own page.

Common mistakes in assignment letters

  • An assignment with no end date, which then runs for years without a decision.

Regulatory notes

These letters are issued under the Saudi Labor Law and the company's work regulations. Overtime pay is in Article 107, and absence without a legitimate reason after a written warning in Article 80 (to be verified); check the current text with the Ministry of Human Resources and Social Development. Allowances and return periods in the templates are examples to adjust to your own regulations.

When employee letters come every week

Microtec accounting software is built for businesses in Saudi Arabia and includes an HR module, where employee records and requests are kept instead of in scattered files.

Frequently asked questions

Does a task assignment need the employee's consent?

An assignment within the contract and the nature of the job only needs the employee's signature of receipt. Work that differs substantially from what was agreed needs written consent under the Labor Law (to be verified).

Is the assignment kept in the employee file?

Yes. Keep a signed copy in the file with the completion report at the end of the task; appraisals and any allowance paid refer back to it.

How is the assignment paid?

Either a lump-sum allowance for the period under the company's regulations, or overtime pay if hours go beyond normal working hours. The sample has SAR 1,500.00 for two months, shown in figures and words.

Can an assignment be extended?

Yes, with a new letter quoting the first assignment, the extension period and the reason, signed as received like the first.

Can a company in Saudi Arabia dismiss an employee who stops coming to work?

Article 80 allows the contract to be ended in specific absence cases after a written warning. Keep the warning and its delivery date on file, and check the current text before any decision.
