A receipt voucher is the document a business hands to someone who has paid it money, proving that it received the amount, when, by which method and for what. Enter the amount, the payer, the payment method and the purpose in the form above and you get a numbered voucher in Saudi riyals with the amount in figures and in words, to print on A4 or on a receipt printer. The Cash receipt tab words the confirmation from the person who received the money, and the Blank template tab gives you two vouchers to fill in by hand.
How to fill in the receipt voucher
- Choose the payment type: rent, deposit, payment against invoice, sale of a car, salary, or general payment. A matching description goes into "Being payment for", and you can edit it.
- Type the amount received in figures; the voucher writes it in words, ending in "only".
- Enter the payer's name as it appears on their ID or commercial registration.
- Choose the payment method. Cheque opens fields for its number, bank and date; Transfer opens a reference field.
- Download the voucher, sign it, give the original to the payer and keep a copy.
Under "Business details, numbering and balance" you add your business name, CR number and VAT number, and the voucher number if you want to start from a particular one. The page stores the next number on your device, so the following voucher picks up after it. If the payment is part of a larger amount, enter the total due and the balance appears on the voucher.
Receipt voucher format: what goes on it and who issues it
A business issues a receipt voucher whenever money reaches its cash box or bank account from anything other than the cash sales that a till receipt already covers: collection from a credit customer, rent, a deposit, or repayment of an advance. The payer keeps the voucher as proof of payment, and the accountant files the copy as support for the entry in the cash or bank account.
| Field | What to write |
|---|---|
| Voucher number | A running serial that never repeats and has no gaps, so cancelled vouchers can be accounted for |
| Date | The day the money was received, with the Hijri date beside it |
| Received from | The name as on the payer's ID or commercial registration |
| Amount | In figures in the box, and in words on the line |
| Payment method | Cash; cheque with its number, bank and date; transfer with its reference; or mada card |
| Being payment for | Enough detail to tie it to the lease or invoice |
| Signatures | Receiver (cashier), accountant and stamp |
The voucher does not replace an invoice. If the payment is the price of goods or services subject to VAT in Saudi Arabia, the tax invoice is issued from a compliant e-invoicing solution, and the voucher only proves that you were paid.
Cash receipt, receipt of payment and salary receipt
A cash receipt is written by a person, not a business: an employee who took a salary in cash, a worker paid a fee, or a private seller who received the price of a car. It reads as a first-person confirmation: "I, [name], confirm that I have received from [payer] the sum of …". The wording stays the same whoever signs it, so the English version needs no switch between a male and a female recipient.
If the money came as a cheque, choose Cheque and enter its number and bank, and the receipt becomes a receipt for a cheque.
Rent, deposit and car sale receipts
- Rent: put the month or period in the description and the unit and lease number in the reference, so it is clear which instalment of the lease was paid.
- Deposit: state what the deposit is for and whether it comes off the price when the sale completes or is forfeited if the buyer walks away; that is what people argue about later.
- Sale of a car: write the make, model, plate number and chassis number in the reference, and say whether the amount is the full price or an instalment. Ownership is transferred on the government platform used for that in the Kingdom; the receipt only proves payment.
- Payment against invoice: put the invoice number in the reference and the total due under Business details so the balance shows.
Receipt voucher template in Word, Excel and PDF
Download PDF gives you the voucher exactly as previewed; with "Two copies on one A4" the original and the copy print on one sheet. The 80mm receipt button formats it for a receipt printer. Download Word if you want to change the wording. The Excel file has two sheets: the voucher itself, and a receipt book that starts with your voucher, with empty rows for the next ones and a total for each payment method worked out with SUMIF. For a payer who reads Arabic, the Arabic version of this page produces the same voucher in Arabic.
Electronic receipt voucher
Most people who search for an electronic receipt voucher mean one created on a computer and sent as a file instead of torn from a paper book, which is what this page does. In accounting systems the voucher comes from the collection screen and posts to the customer account and the cash account at the same time. A voucher like this needs no QR code and no connection to the Fatoora platform; those requirements belong to the tax invoice in Saudi Arabia, not to the voucher.
Receipt voucher vs payment voucher
A receipt voucher is issued when money comes into the business; a payment voucher when it goes out to a supplier, an employee or an expense. The cashier signs the first and the payer takes it away; the beneficiary signs the second to confirm receipt and the business keeps it. To issue one, use the payment voucher generator.
Common receipt voucher mistakes
- Repeating a voucher number, or leaving gaps in the sequence with no cancelled voucher to explain them.
- An amount in words that does not match the amount in figures.
- Writing "payment" as the description without the lease, invoice or month.
- Leaving out the cheque number and bank, which makes it hard to trace if the cheque bounces.
- Issuing the voucher before the transfer has actually reached the account.
- Relying on a receipt voucher instead of a tax invoice for a sale subject to VAT.
What to do after you issue the voucher
Give the original to the payer, file the copy with the day's documents, and post the amount to the cash or bank account and to the payer's account. At the end of the day, reconcile the day's cash receipts with what is in the cash box. Copy text puts the voucher wording on your clipboard to send in a message, and Share link copies an address that opens the page with your entries.
When collections pile up and reconciliation falls behind
A voucher book is fine for a handful of payments. When you collect from dozens of customers in cash, cheques and transfers, you need each customer's balance and your cash and bank position at any moment. At Microtec we offer businesses in the Kingdom accounting software (ERP) with sales, purchasing, inventory, finance and HR together. Run a month of collections through it.
