  2. 02Employee consentThe employee signs to agree to the deduction and its reason.WordPDF

A salary deduction form is a written decision that records why pay is being reduced, by how much, and from which incident, signed by the employee to acknowledge it. Choose the deduction type and type the salary and the days or hours into the notice; the amount appears in figures and words with the calculation table. There are two formats: a deduction notice issued by the company, and a consent signed by the employee.

In brief

Daily rate = salary / 30, and the deduction = daily rate x days. A SAR 6,000.00 salary with two days of absence: 200.00 x 2 = SAR 400.00. No deduction without a written reason and a basis in the law or the work regulations.

How to use the salary deduction form

  1. Pick the format: Deduction notice or Employee consent.
  2. Choose the type: absence, lateness, advance instalment, damaged equipment or a violation, and enter the date of the incident.
  3. Type the name, salary and days or hours into the notice, or the amount directly for advances, damage and fines.
  4. Switch to Advanced mode for the decision number, the payroll month, instalments, the legal basis and the details.
  5. Download it in Word to edit, as a PDF to sign, or copy the text.

Salary deduction notice: what it records

To record a salary deduction properly, write down the reason, the amount, the date of the incident and the payroll month, and get the employee's signature acknowledging it. The notice protects both sides: the employer has evidence of the reason and the arithmetic if a dispute reaches the labor office, and the employee knows why their pay changed and how to object. Always keep the written record and stay within the Labor Law limits.

How the deduction is calculated

For absence, the daily rate is the salary used for the calculation divided by 30, multiplied by the days absent. A SAR 6,000.00 salary gives a daily rate of SAR 200.00, so two days absent is SAR 400.00. For lateness, the hourly rate is the daily rate divided by daily working hours: with eight hours it is SAR 25.00, so 3 hours late is SAR 75.00. Whether the basic or gross salary is used depends on your work regulations. As a share of salary, SAR 400.00 out of SAR 6,000.00 is about 6.7%.

Maximum salary deduction in Saudi Arabia

The Saudi Labor Law limits deductions from wages to specific cases and caps them in Article 92: repaying loans and advances, damage caused by the worker, and fines set out in the work regulations. We do not print a fixed percentage here; check the current text with the Ministry of Human Resources and Social Development before you sign. If the amount is large, spread it over instalments in Advanced mode: SAR 450.00 of damaged equipment over 3 instalments is SAR 150.00 a month. A deduction with no written reason and basis is not allowed, and the employee can object to it.

Common mistakes

  • A deduction that shows up in payroll with no prior written notice to the employee.
  • Dividing by the actual days in the month one time and by 30 the next, so daily rates differ between staff.
  • A fine for a violation that is not in the approved work regulations.
  • A notice with no incident date, so it cannot be matched to the attendance record.

Regulatory notes

Cases and limits of wage deductions are in Article 92 of the Labor Law, daily working hours in Article 98, and disciplinary penalties follow the company's approved work regulations. Article numbers follow the text as we know it (verify); check the current text before applying them. Dividing by 30 is common practice and can be changed in Advanced mode.

Frequently asked questions

Can an employer make a salary deduction without a reason?

No. A deduction needs a reason among the cases set by the Labor Law or the approved work regulations, and the employee must be told in writing. This notice puts the reason, the basis and the calculation on one page.

Does the employee have to agree to a salary deduction?

A penalty issued under the work regulations does not need consent; a signature acknowledging receipt is enough. For advance instalments or damaged equipment, a signed consent is advisable, which is the Employee consent tab.

How does an employee object to a deduction?

In writing to Human Resources within the period set in the company regulations, with any evidence of an excuse. Signing the notice as received does not waive the right to object.

Is the deduction recorded in payroll?

Yes, in the deductions column for the payroll month stated in the notice, and the notice is kept in the employee's file.

Can I edit the salary deduction form in Word?

Yes. The Word download gives you the notice with its figures so you can change the wording, and the blank form button gives you a sheet to fill in by hand. There is also an Arabic version of this page.
