An employee daily task sheet is a log where each task is written with its date, priority, estimated and actual time, and status, so the employee and their manager know what is done and what is late. This page has two formats: a sheet for one employee with a sheet that totals the week, and a team task tracker with a summary for each employee. Both download as Excel files with their formulas.

In brief

Completion rate = done tasks ÷ all tasks. In the example above the accountant finished 8 of 10 tasks in the week, or 80%, and time adherence is 94.1% because the done tasks were estimated at 16 hours and took 17.

How to use the task tracker

  1. Choose "Employee daily task sheet" for yourself or one employee, or "Team task tracker" for a team.
  2. Write each task on a row: date, task, priority and estimated hours.
  3. When a task finishes, enter the actual time and set the status to "Done"; the row changes colour and the cards update.
  4. In the "Week" or "Employee summary" sheet, enter the dates or employee names and their figures are totalled from the log.
  5. Download the sheet in Excel to keep working on it, or as a PDF for the team meeting.

What is an employee daily task sheet

It is a daily to-do list written with numbers: what I will do, at what priority, in how many hours, and what actually happened. It makes priorities clear before the day starts and measures output by what is finished rather than by impression. A Tuesday example from the log: "Count petty cash", one hour estimated and one hour actual, and "Reconcile a supplier account", two hours estimated and three actual because of a difference on one invoice. The team task tracker puts the whole team in one log with a column for the employee's name.

How to write tasks and set priorities

Write a task as an action with a result you can check: "Reconcile September bank statement", not "Bank". Split a large task into pieces of no more than a day. Then set priority with two tests: is the deadline close, and will someone else be held up if it slips? Mark it high if both apply, or one applies and it has a financial impact, and low if it can wait a week. Examples: in sales, "Visit three customers in north Riyadh" is high and "Update customer records" is low; in accounting, "Daily cash reconciliation" is high.

Measuring employee output with numbers

Completion rate measures quantity; time adherence = estimated time ÷ actual time for done tasks, so anything under 100% means tasks took longer than planned. In the team sheet 8 of 12 tasks are done, so the team rate is 66.7%, and the Employee summary highlights anyone under 50%. Use the weekly report in the team meeting to discuss late work and its causes, but do not judge on numbers alone: ten easy tasks are not the same as two hard ones, and quality does not show in this sheet.

When a team should move from Excel to a system

Signs include a file per employee with several copies and no clear latest version, statuses updated only before meetings, difficulty following a team across branches or cities in Saudi Arabia, and a need to link tasks to performance reviews and the employee file. At that point the team task tracker becomes a burden rather than a tool.

Common mistakes in task sheets

  • Vague tasks with no clear result, such as "follow up".
  • Every task marked high, so nothing is a priority.
  • Filling in actual time from memory at the end of the week.
  • An employee's name typed two ways, so it is not picked up in the summary.

Frequently asked questions

Does the daily task sheet work for a whole team?

Yes. Choose "Team task tracker": one log with a column for the employee's name, and an "Employee summary" sheet that shows each person's tasks, done, late and completion rate.

Does the employee task tracker work in Google Sheets?

Yes. Upload the Excel file to Google Drive and open it in Google Sheets; the formulas used (COUNTIF and SUMIF) work there unchanged.

How do I add an employee?

Enter their tasks in the "Team tasks" sheet under their name, then add the name, spelled the same way, on a new row of the "Employee summary" sheet and their figures are calculated.

Should I protect the formulas in the file?

It is a good idea if more than one person edits the file. The calculated columns hold formulas; you can lock them under Review, then Protect Sheet, after leaving the input columns unlocked.

Is there an Arabic version of this task tracker?

Yes. The Arabic page has the same two sheets with Arabic columns and files; the link is below the sheet above.
