A daily sales report is a sheet that records each day's takings by payment method and subtracts refunds to show net sales and the average ticket. Enter your till close figures in the "Daily report" tab: the days roll up into a weekly summary, and the monthly report, annual report and performance analysis build from them.

In brief

Net sales = cash + card and mada + delivery apps − refunds, and average ticket = net sales ÷ invoices. In the supermarket example: SAR 94,120.00 over 14 days from 2,868 invoices, an average ticket of SAR 32.82.

What is a daily sales report and why it matters

A daily sales report summarizes revenue, refunds and payment methods for each day on one sheet, and answers three questions before the next day starts: how much you sold net of refunds, how customers paid, and what the average ticket was. Seeing the figure every evening shows a drop on the day it happens rather than at month-end, such as rising refunds or cash below the usual level. A store manager can fill it in from the till close in two minutes, then download the Excel template and compare weeks and months.

How to use the daily sales sheet

  1. After closing the shift, take from the till report the cash total, the card and mada total, delivery app sales, refunds and the number of invoices.
  2. Enter them in the day's row and give each week a number (1, 2, 3…) so it adds up on the "Weekly summary" sheet.
  3. Open "Weekly report", "Monthly report" or "Performance analysis" and fill in the business name, branch and period; the figures come from the sheet.
  4. Download the sheet in Excel to carry on through the month, or a report as a PDF to send to the owner.

Daily sales template in Excel

The daily sales sheet has one row per day with five figures copied from the shift close; everything else is a formula. One day as an example: 1,850 cash + 4,320 card and mada + 610 from apps − 85 refunds = SAR 6,695.00 from 212 invoices, an average ticket of SAR 31.58.

ColumnWhat to enter
Cash, card and madaActual takings from the shift close report after counting, not the expected figure.
Delivery appsApp orders at selling price; the commission is an expense recorded in your books, not here.
RefundsThe value returned to customers that same day.
InvoicesThe number of sales transactions, which gives the average ticket.

Monthly sales analysis

Sales analysis starts with comparison. The weekly summary adds up the days with a SUMIF formula by week number, and in the example net sales rose from SAR 46,053.00 to SAR 48,067.00 (4.4%). The annual report has one row per month and shades any month that fell below the one before, such as February (−4.1%).

Then peak days and payment methods: the strongest day was Thursday 17/9 at SAR 8,795.00 net and the weakest Monday 7/9 at SAR 5,378.00. 64.9% of takings came by card and mada, 25.4% in cash and 9.7% from delivery apps, and refunds were 0.7% of sales.

Best-selling items do not show on this sheet because it records daily totals; item analysis needs an item sales report from the till.

From manual reports to automatic reports

A manual report wears you down in copying figures from the till every evening and merging several branches' closes into one file, and each copy risks a transposed figure or a missed day. Point-of-sale and ERP systems build the sales report from the invoices themselves, so the figure is read rather than typed again. This sheet suits one or two shops.

Common sales report mistakes

  • Recording sales from the till screen before counting the drawer, which hides shortages and overages.
  • Subtracting discounts given along with refunds, when they are already out of the takings.
  • Recording app sales after commission on one day and before it on another.

Accounting notes

Point-of-sale takings include VAT. The advanced "Net before VAT" column divides net sales by (1 + rate), with the rate set at 15% under the Saudi VAT Law and editable in the settings; check the rate that applies to your activity with the Zakat, Tax and Customs Authority (ZATCA).

When adding up till closes takes an hour a day

Daily sales report FAQ

How often should I prepare a sales report?

Daily, after the last shift closes; it takes two minutes if you copy the figures on time. The weekly summary and monthly report build from the same days, so you never type them again.

Which indicators matter most in a sales report?

Net sales after refunds, average ticket, number of invoices, the split of takings by payment method, refund rate, and the change from the previous week or month.

How do I make a daily sales report?

For each day, record cash, card and delivery app takings, subtract refunds and divide net sales by the number of invoices. Example: 1,850 + 4,320 + 610 − 85 = SAR 6,695.00 from 212 invoices, an average ticket of SAR 31.58.

Is there a daily sales report in Word or PDF?

Yes. The weekly report, monthly report and performance analysis download in Word and PDF once you have entered the daily figures in the sheet, and the monthly report also has a blank form to print.

What is the difference between gross sales and net sales?

Gross sales is everything sold; net sales is gross sales after refunds. Discounts given at the till are not subtracted again because they are already out of the price you collected.

Is there an Arabic version of this template?

Yes. The Arabic page has the same sheet with its weekly, monthly and annual reports and the performance analysis; the link is below the template above.
